Getting started

Your first twenty minutes, and what to send your crew

You do not need to set the whole season up before anything works. Do the five things below in order and your crew will have their next weekend on their phones the same afternoon.

The portal is at portal.sportsync.world. Sign in with the email address you signed up with. There is no separate password to remember for the app — it is the same account.

For you, the person running the team

When you sign in, the dashboard shows a Start here card with these five steps on it. It ticks them off as you go and disappears when they are done. If you lose it, there is a Show me round again button on your account page.

Confirm your championship Your season, the hotels we suggest and every itinerary come from this. If you race a championship we carry, your rounds are already in — you are checking, not typing. If we do not carry it, choose Custom calendar and add the rounds yourself.

Put your crew in Paste a spreadsheet straight in, or add people one at a time. Nothing else does anything useful until the portal knows who travels. You need a name and an email address; everything else can come later.

Check your season Your championship rounds should already be listed. Add your own testing, sponsor days and anything outside the official calendar. Rounds you add are yours — no other team can see them.

Build one round Not all of them. One. Paste a promoter timetable in and it will read the lines out of it, or write them yourself. Doing one is how you find out whether this suits you.

Ask your crew onto the app This is the half your team actually sees. They get an email, they set a password, and the weekend you just built is on their phone.

What is worth knowing before you start

Nothing is charged during your trial. Your dashboard says how many days are left. You will get an email before it ends, not after.
Your rounds are private. A round you add is visible to your team and to your coordinator at SportSync. It is not visible to any other team, including teams in the same championship.
Your crew are not charged. Crew you employ are on your subscription. Drivers and contractors hold their own account, because it follows them between teams, and they are billed for it rather than you.
You can cancel yourself, in the portal. Account → Payment methods → End the subscription. You keep working until the date you have paid to. You do not have to email anybody.

What to send your crew

Copy the lines below into an email or a group message. Nothing else is needed — they do not have to be told how the app works, because it tells them on the first screen.

We are running our travel through SportSync this season. You will get an email inviting you — it takes two minutes.

Please do two things when you are in:

Photograph your passport in the Docs tab. Everything booked for you comes off it, so nobody has to chase you the week before a flight.
Have a look at Weekend. Your times, your hotel, your room number and how you are getting there will all appear there.

Use the email address this was sent to. A second address makes a second account.

If somebody says they never got the invitation

Open Team in the portal. It says how many were invited and have not signed in, with a Send the invitation again button. It is nearly always a spam folder or a typo in the address.

Where things are, in one list

Portal — portal.sportsync.world. Works in any browser, on a laptop or a phone.
The crew app — search SportSync Team on the App Store or Google Play. It also runs in a browser at the same address, so nobody is blocked waiting for a download.
Your coordinator — named on your dashboard, with the back-and-forth you have had with them. If the name changes, you are told.

Something not working?

Write to team@sportsync.world and a person will read it. Tell us what you were doing and what you expected to happen — that is usually enough for us to find it without asking you anything else.
